1 Who we are

SQT Australia trading as SQT Australia (SQT, we, us or our) operates www.sqtaustralia.com.au. This policy explains how we handle personal information in connection with our website, enquiries, products, practitioner training, provider support and events.

It covers information we handle ourselves. Independent clinics and other organisations may have their own privacy policies for services they provide.

Contact us to ask about this policy, request access or correction, or raise a privacy complaint. We can also provide a copy of this policy on request.

3 Information we collect

Depending on your dealings with us, we may collect:

Your name, email address, phone number, state and other contact details you provide.

Your clinic or business details, professional role and training or provider-registration information.

Enquiries, correspondence, bookings, event registrations and attendance, and communication preferences and consent records.

Order, delivery, billing and payment-status information when you purchase from us.

Technical information about website use, as explained in section 9.

Please avoid including health information in general enquiry or event-registration forms. If a particular activity requires health or other sensitive information, we will explain that collection separately and obtain any consent required by law.

4 How we collect information

We generally collect information directly from you when you complete a website or event form, book a call, contact us, place an order, participate in training or subscribe to updates. If you submit an SQT lead form on Facebook or Instagram, we receive the information you choose to submit through that form.

We may also receive information from service providers helping us manage these activities, or from someone making an enquiry or booking with your authority. You may make general enquiries anonymously or using a pseudonym where practical. Without information needed for a particular request, we may be unable to register you, fulfil an order or respond.

5 Why we use information

We collect, hold, use and disclose personal information to:

Respond to enquiries, arrange discovery calls and provide requested information.

Process purchases and deliver products, training and provider support.

Manage events, confirm registration, send relevant event updates and reminders, and administer attendance.

Send marketing you have agreed to receive, or that we are otherwise legally permitted to send, and manage your preferences.

Operate and improve our website and services, maintain business records, address complaints and meet applicable legal obligations.

Any other use or disclosure must be permitted by applicable law, or based on your consent where required.

6 Marketing and your choices

Registering for an event does not, by itself, mean you agree to unrelated ongoing marketing. Any marketing choice shown on a form should be read separately from the information needed to administer your registration.

You can stop marketing emails through the unsubscribe link, and stop marketing SMS by following the unsubscribe instructions in the message, including replying STOP where supported. You can also contact us using section 2. We will action unsubscribe requests within five working days. You will not need to create an account, log in or provide extra personal information to unsubscribe.

Opting out of marketing does not cancel an existing booking or order. We may still send necessary, non-promotional communications about something you have requested, subject to applicable law and your preferences.

7 When we share information

We may share information with staff and service providers where needed for the purposes above. These may include website hosting, IT and cloud-storage providers; customer relationship management and event-registration services, including HighLevel or LeadConnector; email and SMS delivery services; marketing support providers; training and event delivery providers; and payment, delivery and professional advisers relevant to your dealings with us.

We may also disclose information with your consent or where required or authorised by law. We seek to limit information shared to what is needed for the relevant purpose.

8 Overseas handling

[Before publication, state whether personal information is likely to be disclosed overseas and list the relevant recipient countries after checking hosting, CRM, email, SMS, advertising and support providers. Distinguish overseas storage or access from a disclosure where relevant. Do not leave this instruction in the published policy.]

Where applicable privacy law requires safeguards for overseas disclosure, we take reasonable steps to meet those requirements. Contact us if you would like more information about overseas handling of your personal information.

9 Cookies analytics and advertising

Our website and embedded services may use cookies and similar technologies to operate forms and other features. Technical information may include your IP address, device and browser details, pages visited, referral source and interactions with website features.

[Confirm the tools actually used. Describe any analytics, advertising cookies, Meta Pixel, Conversions API or customer-list audiences; what information is sent to each provider; the purposes; and available choices. Delete any tools not used.]

You can manage cookies through your browser settings. Blocking cookies may affect website features. Where a third-party service is used, its own privacy notice also explains how it handles information it receives. Browser cookie settings may not control every server-side disclosure.

10 Storage security and retention

We hold personal information in business records and electronic systems, including systems operated by our service providers. We take reasonable technical and organisational steps to protect it against misuse, loss and unauthorised access, alteration or disclosure. No system can guarantee complete security.

We keep information for as long as reasonably needed for the purposes described in this policy, including applicable legal record-keeping requirements and resolving complaints. When information is no longer needed and we are not legally required to retain it, we take reasonable steps to securely destroy or de-identify it. We may retain a limited record of your unsubscribe request so we can respect it.

11 Access and correction

You can ask to access the personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using section 2 and describe your request. We may need to verify your identity or authority before releasing information.

We will respond within a reasonable time. There is no charge to make a request or to correct information. If a charge for providing access is permitted and proposed, we will explain it in advance. If we refuse access or correction, we will explain the reasons, unless the law prevents us, and how you can complain.

12 Privacy complaints

If you are concerned about how we handle personal information, contact us using section 2. Please describe what happened, when it happened and the outcome you would like. We will acknowledge your complaint, review the relevant information and respond with our findings and any steps we propose to take.

We aim to respond within 30 days. If we need more time, we will explain the reason and expected timing. If you are not satisfied with our response, or we have not responded within 30 days, you may contact the Office of the Australian Information Commissioner (OAIC). The OAIC can explain whether your complaint falls within its jurisdiction and any other steps needed.

13 Changes to this policy

We may update this policy when our practices or applicable requirements change. The current version will be available on our website with its last-updated date. If a change needs a separate notice or consent, we will take the steps required by applicable law.
